In these Terms and Conditions, “OLYA LTD”, “we”, “us” and “our” refer to OLYA LTD. “Student”, “Customer”, “you” and “your” refer to the person using the Website, requesting Services or making a payment.

2. Acceptance of these Terms

By accessing this Website, submitting an enquiry, signing a service agreement, placing an order or making a payment through the Website, you confirm that you have read, understood and accepted these Terms and Conditions.

If you do not accept these Terms, you must not purchase Services or submit personal information through the Website.

Where a separate International Student Services Agreement has been signed between you and OLYA LTD, that agreement forms part of the contractual relationship.

If there is any inconsistency between these Terms and the signed International Student Services Agreement, the signed agreement shall take priority in relation to the specific Services, fees and application process, except where mandatory consumer law provides otherwise.

3. Eligibility

You must be at least 18 years old and legally capable of entering into a binding contract.

Where the Student is under 18 years old, a parent or legal guardian must review and accept these Terms, authorise any payment and sign the applicable service agreement on the Student’s behalf.

By making a payment, you confirm that you are authorised to use the selected payment method.

4. Nature of the Services

OLYA LTD provides educational advisory, administrative and coordination services for international students.

Depending on the service selected and the individual agreement, the Services may include:

  • assessment of the Student’s academic profile, objectives and eligibility;
  • identification and recommendation of suitable universities and study programmes;
  • information concerning admission requirements, tuition fees and academic procedures;
  • review, preparation and coordination of application documents;
  • submission of applications to selected universities, where authorised;
  • communication with universities and relevant institutions;
  • monitoring and communication of application progress;
  • advisory assistance relating to admission, enrolment and registration;
  • advisory support regarding study visa, immigration or residence documentation;
  • organisation and coordination of the Student’s application file;
  • pre-departure and general administrative support.

The precise scope of the Services shall be stated in the relevant product description, written offer, invoice or International Student Services Agreement.

5. No guarantee of admission or immigration outcome

OLYA LTD provides administrative and advisory support with reasonable care and skill.

OLYA LTD does not make admission, visa, residence permit or immigration decisions and does not guarantee:

  • admission to any particular university or programme;
  • the issuance of a conditional or unconditional offer;
  • the approval of a study visa;
  • the approval of a residence permit;
  • completion of an application by a particular date;
  • any decision made by a university, embassy, consulate, immigration authority or governmental body.

All admission decisions are made exclusively by the relevant educational institution. All immigration and visa decisions are made exclusively by the competent authorities.

OLYA LTD does not provide legal advice and does not act as the Student’s lawyer or legal representative.

6. Student responsibilities

The Student agrees to:

  • provide accurate, complete and truthful information;
  • provide all required documents within the communicated deadlines;
  • ensure that submitted documents are genuine, valid and lawfully obtained;
  • immediately notify OLYA LTD of any relevant changes;
  • cooperate with reasonable requests relating to the application;
  • attend interviews, appointments or examinations when required;
  • comply with university, consular and immigration requirements;
  • pay all agreed fees by the applicable deadline;
  • independently verify important deadlines and instructions communicated by universities or authorities.

The Student remains solely responsible for the authenticity, accuracy and completeness of passports, certificates, transcripts, diplomas, financial evidence, identity documents and other materials provided.

7. Fees and online payments

The price of each Service is displayed on the relevant product or payment page and confirmed before payment.

Unless stated otherwise:

  • prices are displayed in euros;
  • payments are made directly to OLYA LTD;
  • online payments may be processed through Stripe or another authorised payment provider;
  • a payment is considered received only after confirmation from the payment provider;
  • the Customer is responsible for any currency conversion charges or bank fees imposed by their bank;
  • OLYA LTD will provide an electronic order confirmation, receipt or payment confirmation.

Application fees may be payable in stages. Each payment forms part of the total service fee specified in the applicable International Student Services Agreement.

The payment page does not replace the signed service agreement and does not create any guarantee of admission or visa approval.

8. Third-party and additional costs

Unless expressly included in writing, OLYA LTD’s service fees do not include:

  • annual university tuition fees;
  • accommodation;
  • travel expenses;
  • health insurance;
  • document translation or legalisation;
  • apostille charges;
  • courier charges;
  • embassy or consular charges;
  • visa and residence permit fees;
  • medical examinations;
  • personal expenses;
  • other fees imposed by universities, authorities or third parties.

Where a payment includes a fee intended for a university, immigration authority, consulate or another third party, OLYA LTD may transmit that amount on the Student’s behalf.

9. Commencement of Services and 14-day cancellation period

Where the Customer is legally classified as a consumer and purchases Services online, the Customer may have the right to cancel the service contract within 14 days from the date on which the contract is entered into.

The Customer may expressly request that OLYA LTD begin providing the Services before the end of the 14-day cancellation period.

Where the Customer requests immediate commencement:

  • OLYA LTD may begin reviewing documents, creating the application file, communicating with institutions or performing other agreed work immediately;
  • if the Customer cancels after work has started, OLYA LTD may deduct or charge a proportionate amount for Services already provided;
  • university fees, government fees, payment-processing charges and other non-recoverable third-party costs already incurred may be deducted from any refund;
  • if the Services are fully performed during the cancellation period, the Customer may lose the right to cancel, provided the Customer gave prior express consent and acknowledged this consequence.

Nothing in these Terms limits any mandatory statutory consumer rights.

10. Refund policy

Refund eligibility shall be determined according to:

  • these Terms;
  • the relevant product description;
  • the signed International Student Services Agreement;
  • the amount of work already performed;
  • third-party charges already incurred;
  • applicable consumer law.

An initial advance or Stage 1 payment may include administrative processing work and third-party costs. Once Services have commenced or non-recoverable third-party costs have been incurred, those amounts are generally non-refundable, except where applicable law requires otherwise.

A refund will generally not be available where:

  • the Student changes their mind after work has commenced;
  • the Student withdraws after an application has been prepared or submitted;
  • the Student fails to provide documents or information on time;
  • the Student provides inaccurate, incomplete, fraudulent or misleading information;
  • a university rejects the application;
  • a visa or residence permit is refused;
  • processing is delayed by a university, authority, embassy, consulate or other third party;
  • the Student fails to follow instructions or attend required appointments;
  • the Student independently changes the selected institution, programme or destination;
  • the Student becomes ineligible due to circumstances outside OLYA LTD’s control.

Where permitted under the signed agreement, a partial refund of an unpaid or unused Stage 2 balance may be considered if all universities approached reject the Student through no fault of the Student, or if OLYA LTD cannot identify a suitable institution willing to consider the application.

Refund requests must be submitted in writing to contact@olya-international.co.uk and must include:

  • the Student’s full name;
  • order or contract reference;
  • payment date and amount;
  • reason for the request;
  • supporting documentation.

Refund requests will normally be reviewed within 30 calendar days.

Approved refunds will ordinarily be returned to the original payment method. Processing time may depend on the payment provider and the Customer’s bank.

11. Fraudulent or misleading documents

The submission of false, altered, forged, fraudulent or misleading documents constitutes a serious breach of these Terms.

In such circumstances, OLYA LTD may:

  • immediately suspend or terminate the Services;
  • cancel the application process;
  • refuse further assistance;
  • withhold refunds to the extent permitted by law;
  • recover losses or third-party costs caused by the Student’s conduct;
  • notify the relevant university, authority, payment provider or law enforcement body where legally permitted or required.

The Student remains solely responsible for any rejection, visa refusal, cancellation of enrolment, legal consequence or financial loss resulting from false or misleading information.

12. Chargebacks and payment disputes

A chargeback should not be used as a substitute for contacting OLYA LTD regarding a refund or service complaint.

Before initiating a chargeback, the Customer should contact OLYA LTD and provide a reasonable opportunity to investigate the matter.

OLYA LTD reserves the right to provide the payment processor or issuing bank with relevant evidence, including:

  • the accepted Terms;
  • the signed service agreement;
  • payment confirmations;
  • communications;
  • application records;
  • evidence of Services performed;
  • third-party payments made on the Student’s behalf.

This provision does not restrict the Customer’s statutory rights or rights under the rules of their card issuer.

13. Communication

OLYA LTD may communicate with the Student by email, telephone, WhatsApp, CRM messages or other contact details supplied by the Student.

The Student is responsible for monitoring communications and ensuring that contact details remain accurate.

Messages concerning deadlines, missing documents, payment obligations or application requirements may require urgent action. OLYA LTD is not responsible for consequences caused by the Student’s failure to read or respond to communications.

14. Website availability and accuracy

OLYA LTD takes reasonable steps to keep the Website accurate and operational but does not guarantee uninterrupted or error-free access.

Information concerning universities, programmes, tuition fees, admission rules, visa requirements and immigration procedures may be changed by third parties without prior notice.

OLYA LTD may update or correct Website information when necessary.

Website content is general information and must not be treated as a substitute for the Student’s individual written agreement or official information issued by a university or authority.

15. Intellectual property

Unless otherwise stated, the Website and its content, including text, graphics, branding, logos, documents, page layouts and original materials, belong to or are licensed to OLYA LTD.

Users may view and print Website content for personal, non-commercial use.

Users must not copy, reproduce, modify, publish, sell, distribute or commercially exploit Website content without prior written permission.

16. Prohibited use

You must not:

  • use the Website for unlawful or fraudulent purposes;
  • submit false information;
  • attempt to gain unauthorised access to the Website or its systems;
  • introduce malware or harmful code;
  • interfere with payment processing;
  • impersonate another person;
  • misuse forms, email addresses or communication channels;
  • copy or scrape personal or commercial information from the Website.

17. Limitation of liability

Nothing in these Terms excludes or limits liability that cannot legally be excluded, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or mandatory consumer rights.

To the maximum extent permitted by law, OLYA LTD shall not be liable for:

  • decisions made by universities or authorities;
  • visa or immigration refusals;
  • changes in law, policy or admission criteria;
  • delays caused by third parties;
  • lost travel or accommodation costs;
  • indirect, consequential or economic losses;
  • losses caused by inaccurate or incomplete information supplied by the Student;
  • unauthorised payments made to third parties;
  • events outside OLYA LTD’s reasonable control.

Where liability can lawfully be limited, OLYA LTD’s total liability in relation to the Services shall not exceed the amount of service fees actually paid to OLYA LTD by the relevant Customer.

18. Force majeure

OLYA LTD shall not be responsible for delay or failure caused by circumstances outside its reasonable control, including:

  • governmental action;
  • changes in immigration or education law;
  • war, civil unrest or sanctions;
  • natural disasters;
  • pandemics;
  • strikes;
  • internet or payment-system failures;
  • closures or delays affecting universities, embassies, consulates or public authorities.

19. Suspension and termination

Either party may terminate the contractual relationship in accordance with the applicable service agreement and mandatory law.

OLYA LTD may suspend or terminate Services immediately where:

  • the Student submits fraudulent or misleading documents;
  • payment is not made;
  • the Student materially breaches these Terms or the signed agreement;
  • the Student refuses to cooperate;
  • the Student acts unlawfully or abusively;
  • continuing the Services could expose OLYA LTD to legal, regulatory or reputational risk.

Termination does not affect rights, fees, liabilities or obligations already accrued.

20. Complaints

Complaints must be submitted in writing to:

The complaint should include the Student’s name, contract or order reference, a description of the issue and the requested resolution.

OLYA LTD will investigate the complaint and aim to respond within 30 calendar days.

21. Privacy

Personal information is processed in accordance with the OLYA LTD Privacy Policy and applicable data protection legislation.

The Privacy Policy forms part of these Terms.

22. Changes to these Terms

OLYA LTD may update these Terms to reflect legal, operational, technical or service changes.

The version applicable to a purchase is normally the version displayed when the order or payment was made, unless mandatory law requires otherwise.

Material changes affecting an active signed agreement will be communicated where appropriate.

23. Governing law and jurisdiction

These Terms and any contractual relationship with OLYA LTD are governed by the laws of England and Wales.

The courts of England and Wales shall have jurisdiction, subject to any mandatory consumer rights that permit a Customer to bring proceedings in another competent jurisdiction.
